Job Title: Special Programs & Events Coordinator
Reports to: Sr Director of Operations
Schedule: Full Time, 40+hrs a week
A primary function of this and every role at the Tucson J is to ensure by whatever rational, ethical, and legal means possible that every member, guest, and visitor leave the “J” feeling just a little better than when they arrived.
As an ambassador of the JCC, the Special Programs + Events Coordinator represents the JCC to members, guests, clients, and general community by delivering a positive experience and quality interactions leading to client acquisition and retention.
ESSENTIAL JOB FUNCTIONS:
· All Administrative tasks for special programs + event services- Internal + External
· Update and implement contracts for external clients
· Client communication- email and phone
· Collaboration with Building Services for set up design and event implementation
· Screening events for appropriateness and potential areas of partnership
· Building and maintaining relationships with clients and identifying areas for growth
· Outreach/promotion for new client base
· Event planning, implementation, debrief, surveying and tracking
· Supply inventory and replacement management (linens, prep and service)
· Security request
· Client billing and collections
· Communication with on-site caterer
· Curate content for website and brochure
· Contact local congregations for list of Bar/Bat Mitzvah and create gift certificates
· Oversite and update of facility reservation system
· Greet and welcome all members, guests, and staff
· Timely and clear communication
· Answer phones, assist and direct as needed
· Check emails, reply or forward as needed
· High level and quality customer service, assist members, guests and co-workers as needed
· Cleanliness of work areas
· Other special projects as assigned
Skills & Abilities:
- Possess excellent customer service skills
· Interdepartmental communication and collaboration
· Knowledge and experience planning and implementing events
· Strong, friendly, clear, concise, and professional communication
· Professional appearance
· Ability to maintain confidentiality and discretion
· Strong work ethic and attention to detail
· Strong computer skills and ease of learning new systems.
· Must have a friendly and outgoing personality paired with being a team player
· Ability to multi-task and use project management tools
· Strong communication and decision-making skills required
· Requires a flexible schedule to work evenings and weekends.
Education:
· High School Diploma or GED required
· Bachelor s Degree in a related field preferred
Experience and Certifications:
· Customer service experience (minimum 2 years)
· Event planning & implementation experience (minimum 1 year)
· Administrative support experience (minimum 1 year)
· Ability to work in fast paced, collaborative environment
· Strong written and oral communication
· Ability to problem solve
· Attention to details while focusing on big picture
Schedule:
M-F 10am-6pm*
*Subject to change based on cadence of events schedule.
