Job Description:

The Department of Healthcare and Family Services (HFS), Division of Medical Programs' is seeking to hire an energetic and detail oriented Administrative Assistant II to serve as a Staff Assistant for the Bureau of Resources and Impact. This position provides administrative support for the Bureau Chief and is responsible for the following tasks: analyzing and determining assignments; routing and responding to inquiries and correspondence received from internal and external organizations; conducting and coordinating studies and special projects. This role will serve as a representative of the Bureau Chief. The ability to multi-task and retain confidential information is imperative.


The ideal candidate should demonstrate a good work ethic, strong analytical skills, organizational skills, human relation skills, and experience with office procedures in State government or private or business organization.

Job Responsibilities

  • Serves as staff assistant to the Bureau Chief of Resources and Impact
  • Directs and conducts studies and investigations of problems affecting operations
  • Directs and reviews the Medicaid Management Information System (MMIS) and Project Management System (PMS) systems
  • Confers with Bureau staff to develop new/revised policies and procedures relating to services provided by the Bureau
  • Collaborates with the Agency Labor Relations Manager
  • Serves a Personnel Liaison for the Bureau
  • Represents the Bureau Chief
  • Compiles and directs the compilation of a variety of reports, e.g., spending, production, project status, ect
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration
  • Requires two years of professional experience in a public or private organization

Preferred Qualifications

  • Extensive knowledge of the principles of office management
  • Extensive knowledge of composition, grammar, spelling, and punctuation
  • Extensive knowledge of office methods and procedures
  • Two (2) years of experience utilizing automated office equipment, including computers
  • Working knowledge of agency programs, rules and regulations
  • Two (2) years of human relations experience interacting with management, representatives of Government, private industry, and the public
  • Extensive experience communicating clearly and effectively both orally and in writing
  • Two (2) years of experience proofing, composing and editing correspondence and statistical reports
  • Two (2) years of experience with technical support for medical programs

  • Requires the ability to maintain State issued equipment such as a laptop

Work Hours: 8:30 a.m. - 5:00 p.m. Monday - Friday
