The Staff Assistant provides centralized operations coordination and administrative support to the program and their staff; including managing the Executive and Associate Director’s schedules, file storage and collaborative software applications, assists in coordinating travel, processing expense reports and completing special projects as necessary. The role also supports CNAY staff by coordinating events, stakeholder outreach, and research projects.

The candidate must be well organized, flexible, and must be able to contend with multiple demands and accuracy while maintaining a high level of sustained attention to detail. This position also requires basic communication skills, knowledge of Excel, information technology, and database systems, and an understanding of accounting and bookkeeping. The Staff Assistant must have the ability to interact with staff and external stakeholders through program event planning. The ideal candidate will be results-oriented, highly motivated, creative and a team player.

Essential Duties

  • Speaks and corresponds with individuals on the ED and AD’s behalf as requested.

  • Plans travel and prepares detailed itineraries for ED and AD when requested, including travel arrangements, accommodations, and appointments.

  • Initiates and/or finalizes correspondence for the ED and AD as appropriate.

  • Maintains files, prepares reimbursements and other forms as assigned.

  • Manages the CNAY info box by responding to inquiries and triaging them to the appropriate staff when necessary.

  • Works closely with Programs staff in assisting with special projects as assigned.

  • In coordination with CNAY staff, prepare, provide and retain agendas, information, tickets and other pertinent items for daily meetings and events including Board Advisory and Youth Advisory Board meetings.

  • Assists in organizing CNAY’s SharePoint site as needed.

  • Assists team members with organizing roundtables and webinars.

  • Assists with database management and creation for program projects.

  • Supports in event planning and travel arrangements for program events on behalf of staff and stakeholders.

  • Assists CNAY staff with outreach and communications projects.

  • Assists staff with research, written analyses, reports, briefings and memoranda for a variety of audiences.

  • Other duties as assigned

Knowledge, Education and Experience:

  • Bachelor’s Degree in relevant field preferred but not required.

  • A minimum of two (2) years’ experience in Administration or related field; (Additional administrative experience may be substituted for degree).

  • High energy, flexibility, trustworthiness and compatibility; proven ability to determine and hold confidentiality is required.

  • Attention to detail and ability to meet deadlines.

  • Demonstrated experience and passion for working directly with Native youth.

  • Ability to understand budgeting and expense reporting.

  • Computer proficiency, particularly with Microsoft Office Suite.

  • Outstanding communications skills are essential, including public-facing speaking and writing ability.

  • Prior experience working in government or non-profit organizations is appreciated.

  • A strong commitment to the character and purpose of the Aspen Institute.

  • Ability to work under stress and pressure.

  • Ability to adhere to attendance policies.
