The Subcontracts Administration Manager located in Rio Rancho, NM is responsible for identifying, tracking and managing subcontract changes to minimize risk, potential cost, and schedule impacts for complex construction projects. In addition, this role will provide administrative and operational oversight of subcontracts to ensure the work is performed within the guidelines of the Client Contract Agreement, Exyte US Policy & Procedures, and that all changes are managed consistently and efficiently. This role will also manage Subcontracts Administrators on the team.

Explore your tasks and responsibilities

  • Provides administrative and operational oversight of construction subcontracts to ensure work is performed within the guidelines of the Client Contract Agreement, Exyte US Policy & Procedures, and that all changes are managed consistently and efficiently
  • Prepares Request for Modification Proposals (RFMP's) and issue to entities affected.
  • Reviews RFMP's for commercial compliance and works with Commercial Management, Design, Construction, Project Management, and Engineering to confirm Technical compliance.
  • Collaborates with Procurement Buyers and Subcontracts Specialists in the preparation of Work Orders (WO's) that result from the change management process and issue to entities affected.
  • Ensures that a record of all WO’s is maintained in procurement as record of all WO’s issued and interface with Project Management Team as required.
  • Compiles contract revisions or change orders for execution.
  • Interfaces with the field staff to identify back-chargeable events and quantify the costs.
  • Reviews documentation of back-chargeable costs to suppliers and construction Subcontractors. Monitor pursuit all back charges for collection from suppliers and construction Subcontractors.
  • Monitors contract correspondence to ensure timely notification to construction Subcontractors and suppliers of back-chargeable events or other contractual issues.
  • Maintains appropriate logs, records, and other documentation
  • Coordinates with the with the project team, commercial manager, procurement, and legal as necessary to commercially administer subcontracts in accordance the client prime contract.
  • Tracks all Technical Field Service by documenting each visit and coordinating the addition/deletion of time from the original Contract.
  • Trains others within the commercial, procurement, and project team on the change management process.
  • Manages complex construction claims independently with reach back support to legal as needed
  • Provides input to policy/procedure review and development processes
  • Provides strategic guidance to internal project/commercial management
  • Assists and/or drafts of subcontracts
  • Prepares all notices and change documents
  • Assists legal and the project team in any potential claims; coordinate assistance from legal; ensure required documentation is captured
  • Advises/assists with project buyouts and participate in negotiations
  • Ensures compliance with the prime and subcontracts
  • Assist the project in managing any warranty claims
  • Manages the change logs and put actions into place to manage and/or reduce risks on a project
  • Travels as needed to support projects sites (required)

Show your expertise

  • Bachelor’s degree in Pre-Law, Supply Chain/Purchasing, Business, Engineering or Construction Management or related field preferred
  • 10+ years of experience
  • Experience in reviewing, redlining and negotiating contracts for the construction, plant maintenance, and engineering consulting services industries
  • Experience on the selling side vs. the purchasing side of contract administration
  • Proficient Project Process Management
  • Strong computer skills around databases and MS Office
  • Advanced Contract Comprehension required
