Position Summary:
We are looking for an Training Coordinator to join our mission-driven, not-for-profit "Best Place to Work" recognized organization. As a member of our service-oriented, pro-active, and dynamic Education, Training and Events Team team, you will play a critical role in our success at NRECA.
Provides administrative support for education programs designed to enhance the knowledge and effectiveness of NRECA member system directors and employees. Executes all support tasks and activities related to the delivery of on-site and online employee and director education programs including planning, marketing campaigns, logistics, and delivery as well as ongoing registration and attendance monitoring.
This role is currently designated as "hybrid" and allows up to 2 "work from home" days per week.
Essential Duties and Responsibilities:
- Program Support - Takes initiative to support the promotion, sales and delivery of NRECA on-site and online education programs for cooperative directors and staff to member systems (“clients”) as well as NRECA-hosted education programs.
- Serves as the main point of contact with printing vendor (Mosaic) to
ensure accurate procurement, printing and shipping of course materials.
- Ensures accurate recordkeeping of course material shipments.
- Confirms all training assignments and logistics to ensure accurate date, time and location or online platform for scheduled training with instructors and clients. Orders and ships appropriate materials to client’s or other location as appropriate.
- Assists Education Services Representative in booking of on-site and online training deliveries by matching instructor availability with course/date requests as directed.
- Reviews all course evaluations to identify any red flags. Brings flagged items to the attention of the Director, Governance Education and sends course evaluations to NRECA’s Market Research for timely processing. Uses Snap Surveys to generate on-demand evaluation reports.
- Reviews and properly codes all instructor invoices for accurate reimbursement and timely payment. Works with Accounts Payable to resolve any payment issues.
- Reviews all training invoices for timely submission to clients.
- Coordinates and executes back-office event processes using the Event Management System and Learning Management System. This includes training event set-up, speaker and instructor logistics.
- Supports all aspects of NRECA-hosted training programs as directed, such as ordering manuals, preparing event materials, answering member questions, coordinating with registrar on production of name badges, scheduling and set-up of online training deliveries, providing real-time technical support during online training deliveries, etc.
- Runs event registration reports, financial summaries, attendee lists and any other type of data reports needed to support an event.
- Provides front-line customer service and administrative support by serving as a main point of contact for client inquiries about NRCEA's education and training programs.
- Travel to events and provides on-site support as needed.
- Ensure program information on cooperative.com is kept current, preparing web requests for updates as programs, instructors and courses change.
- Proofread, edit and coordinate reviews of program and promotional materials as needed.
- Identifies process improvements to achieve efficiencies and cost savings.
- Maintains documentation of program support procedures and archives information needed for future reference and use. Suggests process improvements to achieve efficiencies and cost savings.
- Course Material Updates - Uses InDesign software to revise and update existing training course materials as directed by program managers.
- Follows Education and Training department's quality control process for all revised or newly developed course materials prior to distribution.
- Keeps track and informs instructors of new and revised course materials.
- Manages programs with special enrollments, such as the Gettysburg Leadership Experience.
- Responsible for the proper security and disposal of any confidential information that he or she may possess in the course of performing this position’s job duties, in accordance with NRECA’s Personnel & Administrative Policy and HIPAA Privacy and Security Policies & Procedures Manuals.
- Serves as secondary web conference coordinator.
- Works with web conference sponsors and/or participants to design and plan the event.
- Schedules, set-up and tests web-conferencing equipment.
- Troubleshoots technical difficulties.
- Manages web conferences via WebEx or other platforms, including coordination of delivery using an outside vendor’s services.

Qualifications
Formal Education Required:
High School diploma or GED required, Associate in any field preferred.
Experience and Certifications Required:
5+ years’ experience in providing admininstrative logistics related to training conferences.
FLSA Status: Non-Exempt
Knowledge, Skills and Abilities Required (as demonstrated by prior work experience)):
- Ability to manage competing deadlines and multiple projects at various stages using effective organization skills and attention to detail.
- Ability to listen and interpret member needs, de-escalate difficult member calls, while at the same time researching the issue and applying broad business and technical knowledge to meet the member’s satisfaction.
- Ability to work with a wide variety of people to foster cooperation in sharing information and materials.
- Ability to use training delivery and support systems such as event management systems, learning management systems, web conferencing and other online delivery platforms
- Ability to communicate, both verbally and in writing, with a diverse membership, employees and/or vendors in a clear and precise manner.
- Ability to use Microsoft Office tools (Excel, Word, Outlook, Power Point) in the day-to-day essential duties of the job.
- Ability to operate various office equipment such as personal computer, copier, printer, fax machine or other job-related equipment.
- Ability to provide service excellence by building relationships, being resourceful, responsive and respectful.
- Ability to edit and proofread for spelling, grammar, and tone following NRECA guidelines.
- Ability to Travel 15%.
