Job Summary and Qualifications
The Radiology Unit Secretary maintains and ensures the smooth operation of the Radiology front office. Greets patients, process requests for service and handles incoming telephone calls. Ensures all exams for all procedure areas are entered correctly and indication for procedure is adequate. Responsible for obtaining valid outpatient orders and required lab work. Releases patient procedures/films and report in compliance with hospital policies. Routinely handles very confidential information. Trains and monitors staff in the clerical/fileroom function of the Department.
1. Proficiently handles the paperwork process and outpatients:
- Operations of the Radiology Meditech system to process imaging request forms. Uses account number to indentify patient:
- Checks-In request; ensures the correct exam is entered and indication for exam is adequate.
- Enters out-patient exams as outlined in guidelines.
- Identifies out-patient by at least 2 patient identifiers, patient’s name and date of birth.
- Ensures all outpatients have valid orders prior to exam.
- Maintains patients’ privacy and dignity in all interactions.
- Ensures all outpatients requiring labs, have them attached to paperwork
- Aware of all out-patients waiting for exams, notifies Floor Coordinator or designee of patient waits longer than 15 minutes.
- Provides outpatients with required questionnaires and educational information
- Writes all exams and required information on the control board.
- Cancels outpatient “no show, cancelled, etc ” in the Radiology and Scheduling systems. Sends letter to physician.
- Organizes and prioritizes the orders /workflow and demands to meet the most urgent needs.
2. Responsible for assisting Central Scheduling for the scheduling of “add-on or STAT” procedures.
3. Proficiently process Films/report for release:
- Follows established protocols to release films and information to patients within and outside of the Austin
- “Authorization for the Release of Medical Infromation” form is completed before radiology films or reports are released as outlined in hospital policy. ID number is docuemented.
- All releases including copies are entered into Meditech via Film Tracking
- Does not release to facilities or phsician’s office without written request.
- Does not fax reports to non-ordering physician without the appropreate release
- Checks in all “outside films” into Film Tracking, file in “Outside Film File”
- Returns outside films monthly via Film Tracking
- Completes all requests for duplication of films according to established protocols.
- Releases out-of town mammograms as outlined in policy
- Processes the request for legal films according to established guidelines.
- Runs reports and letters monthly for the return of loan films.
4. Is accountable for the smooth operation of the front office and the training of front office staff.
- Greets all physicians entering the department.
- Handles telephone calls with courtesy, accuracy, good etiquette and respect for the calling party.
- Attempts to handle all in-house or patient questions before sending to the Floor Coordinator or Imaging rms.
- Screens personal phone calls to staff on an as-needed basis.
- Conducts orientation of new employees according to Orientation Checklist and Job Description
- Recognizes when others are in need of assistance, and ensures that assistance is provided.
5. Handles reporting and filing responsibilities.
- Retrives films from the fileroom as needed.
- Request that a delivery service pick up films or supplies within and outside of the Austin area.
- Request Master Jackets from Iron Mountain as needed.
6. Performs other related job responsibilities
- Demonstrates knowledge of Radiology Meditech functions and ablility to use in daily task.
- Prints the outpatient schedule and ordered list daily.
- Orders department supplies, meets operational budget expenses, ensure availability at all times.
- Maintains a professional, customer oriented and supportive environment at all times.
- Attends staff meetings. When absent is responsible for obtaining information from meetings.
- Functions independently and problem solves effectively, considering alternatives.
- Maintains knowledge on Departmental QC, QA, and PI activities, and participates as requested.
- Ensures departmental office equipment is functioning properly and follows protocol to handle malfunctions.
- Performs other duties as requested.
7. Performs team member responsibilities including, but not limited to the following:
- Participates in efficient reporting turn around time.
- Acts as a resource person for clerical staff and Technologists the identification and solutions of problems.
- Participates in keeping office area stocked and clean.
- Adjust to peaks and lows while maintaining an effective and efficient manner.
What qualifications you will need:
- High School Graduate/ GED
EXPERIENCE: Three years’ experience in a clinic or hospital with experience serving the general public and scheduling exams. Must be able to read radiology results, have an understanding of imaging procedures and diseases, operate a personal computer and function in an active clerical office. Requires word processing skill of at least 40 wpm.
