The Candidate

We are looking for a highly collaborative individual with experience that includes invoice creation, cash application, collections, and customer service. The individual will be a team player who enjoys working with others, has strong written and oral communication skills, and can build relationships with customers, while also ensuring invoices get to customers timely and cash is collected in accordance with terms.

The Role

This role is a newly created Accounts Receivable Analyst that will support two Arkansas locations and work closely with customers, various branches, and the corporate accounting team. The role will report to the National HVAC Service Accounts Receivable Manager, based in Nashville, TN, with a dotted line to local operational leadership in Little Rock.

Primary Responsibilities

• Create invoices for service work, maintenance contracts, and projects, including AIA billings.
• Review call summary notes and update language to ensure professional communication on invoices.
• Research customer discrepancies and apply cash receipts accurately.
• Build strong relationships with customers.
• Set up new customers, perform credit checks, and maintain customer portals.
• Create, renewal, and cancel maintenance contracts.
• Provide timely and accurate support to internal business leaders and team members.
• Responsible for monitoring collections and keeping the Aged AR balances to a minimum, including communicating past-due accounts to customers, escalating collections to internal service/project managers, and providing support to local leadership.
• Deposit checks received via mail.
• Process credit card payments and reconcile credit card statements.

Qualifications

• Bachelor's degree or equivalent experience
• AR experience of 2 years, minimum
• Basic Excel skills
• Strong customer service
• Ability to organize workload, manage priorities, and adapt to change
• Experience with Great Plains, preferred
