I. SUMMARY:

At Catholic Charities West Virginia (CCWVa), we have a culture deeply rooted in Catholic social teaching and respect all Catholic beliefs and practices.

The Administrative Assistant is responsible for being the first point of contact for anyone calling or visiting Hazel’s House of Hope. Duties include: answering the phone, directing calls, and greeting guests as well as other duties as assigned, coordinating weekly cleaning supply giveaways, and assisting with the bi-weekly food pantry sign-ups.

The Administrative Assistant must be able to work with persons of varied social, economic, and ethnic backgrounds. The Administrative Assistant will also aid in being backup for agency calls for our Executive Assistant.

  • ESSENTIAL DUTIES:
  • Checking messages and answering phones, directing calls and messages to the appropriate staff member throughout multiple offices.
  • Greeting incoming guests and answering inquiries they may have.
  • Assisting with on-site programs, particularly food pantry preparation, and sign-ups.
  • Under the Program Assistant, the Administrative Assistant will assist with emergency assistance calls, paperwork collection, and making reports.
  • Coordinating non-food in-kind donations, including weighing, stocking, and storing.
  • General office administrative duties including but not limited to mailings, copying, scanning, faxing, checking the mail, flyer creation, data input, and meeting minutes.

III. ADDITIONAL DUTIES:

  • Assist with all on-site and off-site programs when needed and when time allows. This includes but is not limited to,janitorial duties, food pantry assistance, and emergency assistance for clients.

V. QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

  • High School Diploma or equivalency
  • Office work experience preferred
  • Experience working with a diverse population who are often in crisis situations
  • Excellent communication and interpersonal skills
  • Highly organized with great attention to detail
  • Willingness to adapt to changes in schedule and change in responsibilities
  • Ability to work collaboratively in a team environment
  • Must have a valid driver’s license

  • While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to talk or hear. The employee is occasionally required to stand, walk, use hands to write, type, etc.

  • The employee must possess vision ability to read, write, and operate a motor vehicle.
