PRIMARY PURPOSE OF POSITION:

To properly portray Chase Plastic Services professional image (courteous, poised, professional and friendly) either by phone or in person with customers, suppliers, internal staff and all other visitors. Demonstrates strong interpersonal communication skills and effective decision-making capability when handling reception desk and all other administrative responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet guests in a professional, friendly manner and direct them to the reception sitting area and notify the appropriate party that their guest has arrived. Offer water and coffee to them as they wait.
  • Professionally administer all incoming calls in a courteous and personable manner
  • Mail - Retrieve, open, and distribute daily incoming mail. Post daily outgoing mail and take to mailbox. Prepare and mail field sales mail every Thursday in time to be posted that day. Fold and mail checks for A/P.
  • Prepare UPS and FedEx Shipments and overnight packages as needed. Ship samples and process pick tickets accordingly.
  • Maintain Directory and distribute as necessary: sales I.D., CPS sales’ contact information, titles, phone directory for Clarkston and warehouse, speed dial list, and SS responsibilities master list
  • Inventory and prepare all supply orders, including coffee, office, kitchen, and building supplies. Put away supplies as they are received in an orderly fashion.
  • Check inventory levels of coffee and pull stations and stock as needed.
  • Schedule travel arrangements for sellers as needed
  • Forwarding incoming faxes to appropriate persons
  • Scheduling of conference rooms and company vehicle. Provide assistance to those needing conference room set-up and beverage/lunch service for meetings.
  • Miscellaneous clerical duties and special projects as assigned by the HR Manager or members of the Executive Staff
  • Purchase and delivery arrangement for new baby and wedding gifts and funeral flowers
  • Prepare and distribute birthday and anniversary packages for responsible manager in a timely manner. Maintain birthday and anniversary date list.
  • Prepare welcome cards for new employees, collect signatures, and mail in a timely manner
  • Request nominations for Team Member of the Week. Create slides accordingly and post to Lean screens.
  • Assist in setting up training room, kitchen, outdoor space, etc. for internal employee events
  • Create event information slides for lean monitors and manage through Mango Signs accordingly
  • Maintain a clean and organized front desk workspace, lobby, mailroom, and common areas.
  • Update work instructions in the Receptionist OneNote® as procedures are changed or added.
  • Arrange for front desk coverage prior to taking PTO.
