Administrative Assistant - EVPL Administration

Start date: June 26, 2023

Minimum starting rate of pay: $19.57/hour

Hours: Full-time 40 hours

Must be available to work all public service hours; which includes weekends and occasional Sundays.

POSITION SUMMARY

The Administrative Assistant is responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. This role will assist the Leadership team with day-to-day work and will assist with Board of Trustees meeting coordination, reporting, and governance activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

In cooperation with the Finance Team and other colleagues, the Finance Assistant will advance the library’s mission, vision, strategic priorities, and brand. Responsibilities include but are not limited to:

  • Perform general office duties.
  • Maintain records, files, and documents as assigned.
  • Interact with library customers, stakeholders, and staff online or via telephone in a professional manner.
  • Coordinate meetings of the Library Board of Trustees and the EVPL Foundation for the transaction of business in accordance with state statutes and organization bylaws; compile and transmit the agenda and other meeting documents and reports to the digital board management platform.
  • Compile and transmit agenda and other meeting documentation and reports to the digital board management platform.
  • Chronicle governance activities and business transacted at the Board of Trustee meetings and any board or executive meetings of auxiliary library organizations, including indexing and preparing the official minutes for binding that will serve as the official record of EVPL.
  • Prepare public notices of meetings and public hearings in accordance with state statutes.
  • Participate in special projects, or other duties, as assigned.
QUALIFICATIONS
Basic:
  • High School Diploma or GED.
  • 2+ years’ experience working in an administrative or customer service field.
  • Proficient in Microsoft Office Suite, specifically Word and Excel, as well as Google Suite products.
  • Must possess a valid driver’s license and have reliable transportation.
Preferred:
  • Associate’s or Bachelor’s degree in a related field.
  • 1+ years’ experience with donor software.
  • 1+ years’ experience in a public library setting.
  • Strong organizational, planning, communication, and interpersonal skills.
  • A continuous learner with a welcoming attitude, a collaborative work ethic, and a desire to go above and beyond to serve our diverse community.

Vocal communication is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken word levels. Work requires preparing or analyzing written or computer data, operating motor vehicles or equipment and observing general surroundings and activities. Work occasionally requires wet, humid conditions (non-weather). Work is generally in a moderately noisy location (e.g. business office, light traffic).
