ADMINISTRATIVE ASSISTANT FOR ESTABLISHED CPA FIRM-PLANO, TEXAS

Walton CPA PC is a successful accounting firm based out of Plano, Texas. We specialize in serving small businesses and their owners. DUTIES & RESPONSIBILITIES

This role is responsible for ensuring clients have a stellar first impression. This position will have the best view of the overall operations of the business and ensuring clients how WOW experiences all along the way. Client’s overall experiences will be seamless, effective, magical, and remarkable at every touch point.

Your responsibilities include:

Client Relations

  • Greet clients warmly and enthusiastically. Ensure phones are answered and messages of all types are responded to timely.
  • Maintain a welcoming environment for all visitors
  • Respond positively to customer inquiries, feedback, and complaints
  • Instill confidence for clients and prospects
  • Learn and understand responses to basic tax inquiries
  • Maintain appointment calendars
  • Set and monitor client expectations
  • Deliver client documents and collect payment
  • Maintain office open/close postings (physical and online)

Build Successful Client Relationships

  • Create long-term client engagement
  • Respond timely and accurately to client inquiries and issues

Manage Processes and Procedures

  • Maintain an effective tax return process including overall process design, team coordination, maintain status of returns, and prepare for deadlines
  • Maintain telephone systems
  • Maintain communication tools and processes. Ensure documents, messages, and mail are filed and/or routed appropriately.
  • Maintain physical and digital filing systems
  • Champion documentation of office processes and procedures
  • Continuously seek to minimize distractions and increase efficiency of the team

Office Administration

  • Report and deposit monies received daily
  • Maintain office supply levels
  • Maintain website and client portals with support from outside software vendors
  • Manage the firm’s marketing program
  • Maintain the company social media sites
  • Ensure inside and outside office is clean and presentable
  • Perform office open and closing duties

QUALIFICATIONS:

Prior experience is not required.

We are looking for team members who have the following qualifications:

  • Attention to detail.
  • Sunny and outgoing personality.
  • High level of professionalism.
  • Outstanding work record (No job hoppers!)
  • Light bookkeeping skills are a plus, yet we are willing to train.
  • Outstanding customer service skills are essential.
  • Data entry skills are also a plus, but not required.
  • Experienced with MS Word, Excel, and Outlook.
  • Organized and dependable self-starter that can manage and prioritize multiple tasks and projects.
  • Excellent communication skills and professional demeanor.
  • Desire to “pitch in” whenever needed.
  • High energy and positive attitude!

Compensation:

  • Starting from $20/hour based
