CONFIDENTIAL ASSISTANT TO THE OFFICE OF THE COUNTY ATTORNEY Job at Rensselaer COunty
The Confidential Assistant supports the Office of the County Attorney and the attorneys in this office as assigned. He or she is responsible for performing highly sensitive and responsible secretarial and, depending upon experience, paralegal duties in the Office of the County Attorney. The Confidential Assistant processes a variety of confidential data and information and administrative information for the Office, as well as serving as receptionist for the department, including answering the phone and directing calls, greeting the public and sorting and delivering all mail to the department employees.
TYPICAL WORK ACTIVITIES: (Illustrative only)
- Use judgment and experience in making decisions in accordance with established policies and procedures;
- Greets the public, responding to questions and directing those members of the public to proper sources to respond to their inquiries;
- Answer telephones, provides information to callers, takes messages, make appointments, adequately forward calls when necessary and log in and enter into the office calendars all dates;
- Read all mail addressed to the County Attorney;
- Receive, sort and deliver all incoming mail in assistance to the Secretary to the County Attorney;
- Copy, print, scan and electronically store materials for the departmental needs;
- This person must assist in keeping complete and accurate electronic and paper files, in keeping complete departmental paperwork, in implementing and following county procedures and tracking all procedures and in assisting in the preparation of correspondence, memoranda, reports, records and other materials;
- Performs other duties as assigned.
FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Good knowledge of office terminology, practices, and procedures; ability to interact effectively with the general public and other departments or agencies; ability to understand and follow oral and written instructions; ability to organize and maintain records and files; ability to perform in a stressful environment; ability to use computer programs such as MS Word, Excel, Outlook and Adobe Acrobat Pro software; ability to organize and maintain records and files.
MINIMUM QUALIFICATIONS: High School Graduate or High School Equivalency Diploma; 2 years of law office experience preferred; Notary Public or will take Notary Public exam within 60 days of hire.
