OVERVIEW OF GENERAL RESPONSIBILITIES AND DUTIES
The Customer Service Specialist is the first point of contact many people have with the Action Pathways Second Harvest Food Bank of Southeast North Carolina and handles the flow of visitors, calls and communications through the Food Bank in an accurate, high-quality and timely manner. By providing excellent customer service and centralized administrative support, the Customer Service Specialist provides the quality first-impression required to represent our organization as the leader in efforts to address hunger in our region.
The incumbent should demonstrate a passion for social services, provide outstanding customer service, demonstrate empathy, enthusiasm, and perseverance and embody the respect we have for people we serve as well as our partners and community members who join us in this effort.
The Customer Service Specialist will be performing a variety of general office activities to maintain business records and reports responds to inquiries and direct visitors to the appropriate party. Assists the Operations Manager in providing support through agency shopping ensuring all food safety practices are being followed. Works directly with the Operations team to ensure proper inventory control measures to include receipts and distribution. The Customer Service Specialist performs duties associated with all Food Bank programs.
  • Level of Performance: Employee is expected to provide quality customer service in all situations encountered in the job, being responsive to both internal and external customers in a timely manner. An attitude of professionalism is required for this position. The employee is expected to collaborate with other team members in achieving program goals and meeting standards. Work must be performed at a high level of accuracy. Punctuality and attendance are baseline requirements for the position to maintain the agency's high level of excellence in customer-focused service.
  • Prepares receipts of outgoing orders. Verifies representative's authorization as member in good standing. Checks out agencies using weight scales and computers. Ensures agency representative receives excellent customer service. Brings concerns related to agency shopping patterns or customers to the attention of the Operations Manager. Enforces product restrictions and agency shopping rules. Produces invoice/receipts for all agency orders.
  • Administrative: Provide support in day-to-day member agency shopping area and warehouse operations. Process all member agency's orders, food requests, and payments ensuring accurate completion of paperwork and files.
  • Inventory Control: Provide support to Inventory Control Clerk and Operations Manager in the receipt and distribution of products. Remain abreast of inventory control measures and software upgrades. Interface with the Operations Manager to ensure inventory is accurate and updated.
  • Programmatic: Greet member agencies and check membership cards, and accurately account for merchandise to be delivered or pick up by member agencies in a timely manner. Assists in the scheduling of program distributions of food. Collects documents and organizes data into reports for submission as required by grants.
  • Other: Attends training, staff meetings and career development opportunities to remain abreast of current conditions that impact food banking activities.
  • Performs related duties assigned by Supervisor.
QUALIFICATIONS
Education: Associate's Degree (two-year college or technical school) in Office Technology, Computer Science or related field
Experience: At least two years of nonprofit experience in a customer service environment. Experience and commitment to working with diverse and low-income populations.
Knowledge of customer service practices, hunger issues, and/or experience with social service agencies.
Experience in data collection and analysis, along with the ability to make presentations and develop reports that include data and technical information.
Forklift experience preferred
Computer Skills: Proven competencies in Microsoft Office products, including internet, Word, Excel, Outlook, PowerPoint, Access and standard office equipment. Ability to quickly learn inventory software.
GENERAL REQUIREMENTS
The employee must have excellent written and oral presentation skills and able to interact effectively with a wide variety of people. Ability to speak before groups and make effective presentations is essential to success in this position.
The position will require weekend and evening work.

CONDITIONS OF EMPLOYMENT
Background check with state and Federal law enforcement agency required. Selected applicants must submit to a pre-employment substance abuse screening test and receive a negative result for the use of drugs and alcohol as specified in agency policies. Must submit and receive negative results for random testing of same. The employee must have a valid North Carolina Driver's License. Must be able to pass a post-offer physical examination.
