Editorial Assistant, GeneReviews Job at Computercraft Corporation
Computercraft seeks a highly skilled and self-motivated Editorial Assistant to join GeneReviews. GeneReviews (http://www.genereviews.org/) is an international point-of-care resource that provides – in a standardized journal-style format – clinically relevant and medically actionable information for inherited conditions. GeneReviews has been continuously funded by the National Institutes of Health (NIH) since 1996.
Responsibilities of this part-time position include:
General Duties
- Participate in daily meetings with Online Production Editor to review workload, prioritize tasks, and receive skills training and feedback.
- Perform edits to GeneReviews documents as requested.
- Review weekly broken links reports and make edits as necessary.
- Keep up to date with changes to GeneReviews templates, wording, and content; initiate edits to GeneReviews chapters as changes occur.
- Assist in maintaining custom templates for authors and editors.
- Communicate with NCBI Bookshelf staff regarding document formatting requirements, changes to / issues with NCBI templates, and online display issues.
- Perform other administrative tasks as needed.
Pre-Publication Document Preparation
- As requested, answer editors' questions regarding editing/style of GeneReviews chapters currently in process.
- Prepare final version of GeneReviews chapters for copy edit / conversion to XML.
- Attach NCBI template and apply styles and formatting (bullets, headings, references, etc.).
- Verify and fix hyperlinks.
- Use macros to locate terms that may need to be edited.
- Proofread document for spelling, punctuation, capitalization, house style (e.g., terms to be used/avoided).
- Query Online Production Editor within the document (or consult directly) as needed.
- Upload and run a preliminary conversion to XML to locate and correct citation/reference mismatches and formatting problems.
Post-Copyediting
- Upload and convert copyedited Word documents to XML for preview; resolve any reported conversion errors.
- Perform final line-by-line review of converted GeneReview chapter to check formatting/appearance.
- Notify NCBI Bookshelf weekly of GeneReviews chapters to be posted to the live site; send any relevant support files (i.e., linkaway pdfs).
- Review GeneReview chapters once they are posted live for formatting and basic editorial and conversion errors; correct as needed.
General Qualifications
- Bachelor’s degree or equivalent work experience
- Expert knowledge of Microsoft Word, including use of templates/styles and formatting of tables
- Familiarity with online publications, specifically electronic journals or books
- Strong attention to detail
- Strong language usage and proofreading skills
- Positive attitude; flexibility and patience in a high-volume work environment
- Comfortable managing multiple projects at once
- Strong organization and problem-solving skills
- Initiative and willingness to learn new skills and tasks
Desired Skills
- Proficiency in Microsoft Office Suite and Adobe Acrobat
- Familiarity with Visual Basic, HTML, XML
- Experience handling documents with citations/references
- Comfortable with online research and search tools
- Copy editing experience
- Familiarity with electronic image formats and image creation software, as well as with editing and manipulating graphics
- Familiarity with online project management software such as Editorial Manager
Work Environment: Although work throughout the pandemic has been remote, this is an on-site position that involves working with a team of people. Remote work is still facilitated and will be done during regular business hours, including a weekly online staff meeting. Work can also be done at the GeneReviews office near the Northgate shopping mall. The GeneReviews office is located at 9275 Third Ave NE, Seattle, WA 98115. The office is located just off I-5, one block south of the Northgate shopping mall and the Northgate metro bus terminal. Parking immediately adjacent to the building is free.
