Job Description:

We are looking for a project coordination and administrative assistant to help assist in our growing business. This individual will work out of the Birmingham, Michigan office. The ideal candidate will be independent, quick on their feet, and able to juggle several projects. Excellent communication skills are a must, along with attention to detail and the ability to work as part of a team. The Service Coordinator will be responsible for a multitude of projects and will be expected to take ownership and pride in their work.

Duties and Responsibilities:

  • Maintain project plans, resource activity, and overall project status for assigned projects.
  • Ensure projects are completed in a timely manner and within boundaries of agreed upon cost and resources.
  • Collaborate with all project team members and stakeholders to achieve outcomes, deliverables, and meet deadlines.
  • Assist project managers with gathering data for bids, estimates, and budgets
  • Accurate data entry of purchase orders, work orders, job files, etc.
  • Perform administrative functions such as draft correspondence, scheduling, maintain electronic files, etc.
  • Manage multiple projects concurrently- this will depend on the size and scope of the projects assigned.
  • Drive specific tasks to achieve project goals.
  • Research and develop tools to facilitate project management, issue resolution, prioritization, tracking, and reporting.
  • Answer inbound service calls and/or emails, identify the nature of the call/email and document all information according to procedure
  • Receive and review incoming quote requests and service job requests
  • Facilitate the ordering of customer part requests and following up with customer orders
  • Other duties and special projects as assigned

  • Proficient in Microsoft Office (PowerPoint, Word, Excel) and Video applications (Zoom, WebEx, Microsoft Teams).
  • Proactive go-getter; no task is too big or too small.
  • The ability to work independently and efficiently with ambiguity.
  • Develops meaningful relationships and collaborates across departments.
  • Available to work some off-hours at times.
  • This role should be a naturally curious person as they will assist with research related to various asset classes, markets and general topics.
  • Assist with project coordination through monthly reporting and general processing of documents related to projects.
  • Keeper of order and schedule amongst development team members by assisting with calendaring of meetings with both inside team members and outside clients and consultants.
  • Star player in presentations that are a critical part of our pitch process to municipalities and potential clients.
  • Assist with expense reports, travel and general department purchasing as needed.
  • Assist with a variety of general projects and provide administrative support to each department team member.
