Strong knowledge and highly proficient in Word, Excel, PowerPoint and other Microsoft applications. Strong oral and written communications skills (proofreading and editing), organizational skills. Ability to work in a fast paced environment with minimal supervision, ability to manage multiple tasks and the ability to work as an effective team member.
The Executive Assistant (EA) will be responsible for the smooth and efficient day-to-day operations of the office, performing highly complex and varied administrative duties and meeting deadlines in a fast-paced and quickly changing environment. Maintains calendars, coordinates and schedule perform full clerical, administrative and general office duties of a responsible and confidential natural including telephone support, filing and scheduling. Specific duties include, but are not limited to: coordinating meetings, coordinating travel arrangements, completing reimbursement forms and assisting with additional projects as requested.
ESSENTIAL FUNCTIONS:
- The EA will act as the first point of contact for internal and external colleagues ensuring a welcoming and professional atmosphere; communicate in a timely and professional manner; and handle inquiries and requests from external and internal constituencies.
- The EA will handle confidential materials; compile and summarize data; organize and maintain electronic files; perform database management; compose, proofread, and disseminate written materials; prepare visual and text materials including slide presentations and reports; transcribe and prepare meeting minutes; and organize events.
- The EA will maintain customer confidence and protect operations by keeping information confidential. They may have access to information about compensation plans, reductions in force, internal investigations based on employee complaints, and other confidential information. The need to maintain confidentiality and exercise discretion is essential. This position represents the Office of Corporate Compliance, enterprise wide, both internally and externally; and the EA must exhibit sensitivity to the position as a role model for Thomas Jefferson University and a representative of our Enterprise mission, values and goals.
- The EA will oversee the work of other administrative employees and manage office needs, including enterprise staff meetings, Audit and Assurance Committee meetings of the board of trustees, and board compliance committee meetings. The successful candidate will maintain the professional and technical knowledge necessary to assist in these areas and foster a spirit of collaboration among the Enterprise and affiliate assistants.
