POSITION SUMMARY
At Actriv, we thrive when our people thrive. We’re currently looking for an executive assistant to be a supportive force who empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

Responsibilities

  • Serve as the primary point of contact for internal and external stakeholders, handling a high volume of inquiries and requests with professionalism and tact.
  • Proactively manage the CEO's schedule, including coordinating complex travel arrangements and prioritizing conflicting demands.
  • Prepare reports, presentations, and other materials for executive-level meetings, conferences, and other events.
  • Support the CEO in managing communication with the board of directors and other key stakeholders, including the preparation of meeting agendas, minutes, and reports.
  • Act as a liaison between the CEO and other departments, ensuring that information is accurately communicated and action items are promptly addressed.
  • Monitor and respond to emails, voicemail, and other communication channels on behalf of the CEO, triaging messages as appropriate and flagging critical issues.
  • Maintain accurate and up-to-date records of all communications, tasks, and projects, using the latest tools and technologies to streamline workflows and increase efficiency.
  • Take on ad-hoc projects and other special assignments as needed, providing creative solutions and quick responses to meet the needs of the business.
  • Create and maintain systems to manage the flow of information and documents, ensuring that the CEO and other executives have access to the information they need to make informed decisions.
  • Continuously seek opportunities to improve processes and systems, proposing new approaches and innovative solutions that increase efficiency and effectiveness.

Requirements

  • Bachelor's degree preferred
  • 5+ years of executive administrative experience, supporting a CEO or senior executive
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines
  • Discretion and confidentiality with handling sensitive information
  • Ability to work effectively in a fast-paced environment and handle multiple priorities
  • Excellent interpersonal skills and the ability to work well with all levels of staff and management
