The Department of Family Medicine has an outstanding opportunity for a Grants and Contracts Manager to support its expanding research efforts in practice-based and health services research. This position is based in the Department of Family Medicine's Research Section, which includes a Center for Health Workforce Studies, a Rural Health Research Center, and the WWAMI region Practice and Research Network (WPRN) of primary care practices within Washington, Wyoming, Alaska, Montana, and Idaho. Other research areas include behavioral health, cancer screening and prevention, cardiovascular disease, dementia and cognitive impairment, global primary care and reproductive and women’s health. This position will report to the Associate Director for Research and provide pre- and post-award management functions in Family Medicine.

Position Complexities
The Grants and Contracts Manager will be part of the department’s grants management team and work with principal investigators (PIs) to support the preparation and management of over 60 proposals, DUAs, MOUs, etc., each year. The department’s grant and application portfolio includes a wide variety of funders, including federal and state sponsors, non-profit organizations and private sector institutions. Successful candidates will be able to understand PIs’ programs and to ensure their success, will be expected to understand and interpret complex requirements and be able to prioritize and manage updates from multiple sponsors, both federal and non-federal. The position will work in a collegial and collaborative environment with staff and faculty from the UW Family Medicine Research Section and other groups within Family Medicine, requiring excellent communication and collaborative skills.

DUTIES AND REPSONSIBILITIES

Pre-award grant submission process (40%):
  • Manage the pre-award grant submission process, to include:
  • Develop grant application timelines.
  • Ensure compliance with grant proposal requirements for a variety of funding sources, including federal and state sponsors, non-profit organizations and private sector institutions.
  • Develop budgets for grant proposals and contracts in collaboration with PIs.
  • Communicate with internal and external stakeholders to complete grant proposals.
  • Complete, review and/or edit proposal documents and forms, such as budget justifications, biosketches, other support forms, etc.
  • Develop and manage supplemental grant materials, including letters of support, quotes, facilities and resources, etc.
  • Work with subcontractors to obtain documents needed for proposals.
  • Enter grant information into UW and sponsor systems and databases (e.g., SAGE, grants.gov, Workspace, eRA Commons, Assist, EHB, etc.).
  • Draft sections of grant proposals in collaboration with project faculty.

    Post-award and sub-award contracting and management (50%):
  • Liaise with sponsors as well as the Office of Sponsored Programs and Grant and Contract Accounting as needed to ensure all needed documentation is in place for new budget setup.
  • Ensure grant, contract and research sub-award agreements are executed in a timely manner by regularly monitoring status and communicating with appropriate internal and external administrative offices.
  • Work closely with research teams through the administrative details of research sub-awards with various domestic and international institutions.
  • Process advance budget, no-cost extension and prior approval requests as well as subcontract modifications.
  • Assist research teams with budgeting for supplemental funding, non-competing renewals, and special projects.
  • Liaise with fiscal staff during budget and sub-award setup, to support the closeout process for grants and contracts, and at other times as needed.
  • Support research teams in preparation of sponsor-required financial reports.
  • Provide guidance to department PIs to ensure compliance with university and sponsor policies and procedures.
  • Develop ad hoc reports and analysis for section and department leadership to support strategic planning and ensure the financial health of the research program.

    General research and grant support (10%)
  • Provide training and counsel to faculty and staff concerning grant and contract related processes.
  • Serve as an administrative liaison with multiple process partners, including offices and departments within the University of Washington, regarding research compliance, and pre- and post-award financial issues.
  • Maintain and manage grant documents in the department’s record-keeping system.
  • Update departmental templates as needed (Resources and Facilities, Other Support, rent calculation tables, etc.)
  • Other grant and research related tasks as assigned.

    MINIMUM REQUIREMENTS
  • A bachelor’s degree in a relevant field.
  • Two to three years of administrative experience with grant and contract applications and funded grants and contracts.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS
  • Working knowledge of federal grants rules and regulations.
  • Excellent interpersonal and communication skills to work with a multidisciplinary team of faculty investigators, research and administrative staff.
  • Experience developing and monitoring grant budgets.
  • Demonstrated attention to detail, accuracy and efficiency at work
  • Ability to work independently.
  • Excellent written and oral English language skills.
  • Excellent time management skills to facilitate successful work on multiple complex projects simultaneously.
  • Proven proficiency in word processing, spreadsheet and database software.

    DESIRED QUALIFICATIONS
  • Working knowledge of federal grants rules and regulations.
  • Working knowledge of University of Washington (UW) grant and contract guidelines.
  • Familiarity with grants.gov, eRA Commons, HRSA EHB and other funder portals
  • Experience with University of Washington grants administration, financial and other systems (e.g., SAGE, MyFD, Workday, EDW).
  • Advanced experience with MS Office, particularly Excel.
  • Basic IRB knowledge.

    CONDIITONS OF EMPLOYMENT
  • The Grants Specialist position will be based at the Roosevelt 1 building on the UW Seattle Campus, with anticipated hybrid TELEWORK.
