Williams Lea is hiring for an Office Services Associate for our Chicago office to work Monday to Friday 8:00 am to 5:00 pm!

The Office Services Associate position is responsible for providing general clerical office support (High volume copy, scan print:, hospitality, mail and intake functions) at a client site.
Job Responsibilities:
  • Greet clients at the Intake/Service window, providing exceptional customer service with every interaction while building strong customer relationships.
  • Answer incoming calls in service center.
  • Accept walk-up mail, copy/scan/print/bind requests, review the contents, the verbal and/or written instructions, provide job completion estimates, negotiate deadlines and create job tickets.
  • Communicate walk-up job and customer service requests with team members, monitoring deadlines and following up with the clients and team members as needed, up to completion of the requests.
  • Monitor and respond to team mailboxes, communicating and following up with clients and team members as needed, up to completion of the requests
  • Communicate with site supervisor and/or manager on job or deadline issues.
  • Process high volumes of incoming and outgoing USPS mail, FedEx, UPS, DHL and messenger deliveries as needed, delivering mail and packages throughout the client location while following applicable distribution procedures.
  • Complete high-volume production of reprographics requests (print, copy and scan) as needed, according to job ticket instructions.
  • Load copiers with paper and toner as needed and perform light machine maintenance
  • Place service calls when needed.
  • Replenish and maintain general office and pantry supplies as needed.
  • Light data entry and admin work.
  • Handle sensitive and/or confidential documents and information.
  • Communicate with manager and client on job or deadline issues.
  • Flexibility to work past scheduled end time depending on workload or deadlines.
  • Flexibility to work a rotating Saturday shift.
  • Must be able to lift up to 50 lbs. on a regular basis.
Job Qualifications
  • High school diploma or equivalent experience.
  • Minimum of five (3) years office service services experience in mail and reprographics
  • Ability to estimate repro job deadlines
  • Mail distribution, copy services and other general office duties as needed are required
  • Good organizational and communication skills required
  • Able to receive professional feedback, coaching, guidance and constructive criticism.
  • Ability to work in a flexible environment
  • Ability to handle sensitive and/or confidential documents and information.
  • Ability to make independent decisions and use problem-solving skills.
  • Capable of demonstrating exemplary work ethics and professionalism at all times, showing integrity, accountability and big picture thinking.
  • Ability to work in a fast-paced team environment.
  • Attention to detail with emphasis on accuracy and quality.
  • Ability to prioritize work to balance multiple projects and deadlines.
  • Ability to work overtime and a rotating Saturday shift as needed.
