About this role:

Key responsibilities of the role include but are not limited to:
- Oversee daily operations of office and communication with managers, relaying information on policy changes from upper management, implementing incentives to enhance employee productivity, review daily incoming mail and distribute to appropriate department
- Maintain a team atmosphere through employee development, coaching, and performance measurement
- Arrange annual staff performance reviews with managers and upload final evaluations into employee Bamboo Performance Evaluation folder
- Coordinate with HR Manager to ensure job descriptions for all positions are accurate and updated
- Manage onboarding process for new employees by ensuring Bamboo employee access, BuilderTrend setup if required, assist CFO with QuickBooks, TSheets, and DocuSign setup, arranging setup for Works e-mail including Operations e-mail access as necessary, phone, tablet/computer, and follow-up on all onboarding tasks to ensure completion
- Continuous enhancement and streamlining of administrative procedures
- Ensure inter-office communication system is operational - phones, tablets, computer, etc.
- Inventory control - order supplies and equipment as needed
- Maintain Works SharePoint Drive organization structure and organizational procedures including monthly staff organization chart and Standard Office Procedures (SOPs)
- Perform receptionist duties: answer/direct phone call, receive/sort incoming mail, and manage outgoing mail.
- Monitor employee schedules and troubleshoot scheduling conflicts as they arise
- Assist CEO, Sales and Marketing Department, and Project Managers as necessary.
Qualifications:
The successful applicant will possess the following qualifications.
- Minimum associate degree required
- Computer skills and knowledge of office software packages - Proficient in Microsoft 365
- At least two years proven office management, administrative, or assistant experience
- A positive, optimistic demeanor with outstanding leadership, communication, customer service skills and willingness to assist where necessary
- Knowledge of office management responsibilities, systems, and procedures
- Excellent time management skills and ability to prioritize work
- Attention to detail with strong organization, planning, and problem solving skills
- Excellent written and verbal communication skills
- Knowledge of accounting, data, and administrative management practices and procedures
- Knowledge of human resources management practices and procedures - Experience in BambooHR a must

- A valid driver’s license and reliable transportation.
- Be willing to submit to a background check to include a current review of your driving record and medical exam
- Be able to provide two documents, upon hire, showing proof of eligibility to be hired in the United States
