The School of Urban Studies has an outstanding opportunity for a Program Coordinator.

KEY RESPONSIBILITIES
Responsibilities include coordination of general administrative and operational activities.

Administrative Support
  • Independently advise students, staff, program participants and/or the public regarding program content, policies, procedures and activities; make referrals as needed.
  • Perform complex work processing tasks such as merging, sorting and integrating graphics with text; design and create invitations, brochures and flyers for special program events using desktop publishing.
  • Order, receive, and maintain inventory of office supplies.
  • Oversee website and routinely update web pages, social media, documents, links, forms, images, directories, etc. Provide input on improvements to website with the primary goal of providing up-to-date information for prospective and current students.
  • Onboarding new faculty and staff with office needs.
  • Perform other duties as assigned.

    Fiscal Support
  • Prepare and track payment for supplies, services, travel, and reimbursements.
  • Provide budgetary support for processing of purchases, reimbursement, and budget reconciliation.
  • Monitor and maintain expenditures on course fee budget.
  • Making purchases via procurement card and reconciling monthly.
  • Perform other duties as assigned.

    Student Communication
  • Communicate with students as directed by the Dean and Director.
  • Manage school listservs.
  • Perform other duties as assigned.

    Admissions
  • Manage undergraduate GIS Certificate Program applications; receive, process, track and maintain records.
  • Use spreadsheet/database software to develop and maintain student records
  • Keep applicants informed as to application status
  • Assist GIS Certificate Program faculty coordinator and GIS Recruiter
  • Participate in recruitment activities and info sessions.
  • Attend meetings as program representative.
  • Promote program on campus.
  • Assist Urban Studies Advisor.

    Event Coordination
  • Plan, coordinate, schedule, and monitor program-related activities, meetings, and events.
  • Develop, create, and distribute event-specific posters, flyers, and brochures for publicity, coordinate mailings; use word processing, graphics, statistical, spreadsheet and/or database software.
  • Serve as primary department 25-Live user.

    Curriculum Management
  • Create online curriculum applications using UW Curriculum Management System (Kuali).
  • Review draft applications provided by faculty – negotiate edits and corrections and otherwise scrub applications to meet APCC and UW Curriculum Office approval standards. This includes applications for any new courses, course modifications, and retirement/deletion of courses.
  • Communicate status of applications to faculty, Dean and Director.
  • Serve as program liaison to UWT APCC and UW Curriculum Office; correspond with said parties and problem solve content and technical issues.

    MINIMUM REQUIREMENTS:
  • High school graduation or equivalent AND two years’ experience with undergraduate programs of internship programs OR equivalent education/experience.

    ADDITIONAL REQUIREMENTS:
    Competitive candidates will have excellent oral and written communication skills, possess strong customer-service skills, have the ability to develop effective working relationships among staff, faculty, students and other members of the UW community. They will have the ability to work with various and occasionally competing priorities and time-sensitive situations and information, and will have experience working with diverse populations.
  • Experience in providing administrative support and overseeing and executing office operations.
  • Ability to work independently and within a team atmosphere.
  • Proficiency using Microsoft Office applications and experience performing complex functions (including mail merges and producing reports and charts) using Microsoft Office Suite (Word, Excel, PowerPoint and Access).

    DESIRED QUALIFICATIONS:
  • Bachelor’s Degree in any major
  • Experience working in higher education
