We are looking for a responsible Estimating Assistant to help with tasks before a project is ever contracted or built. The estimator builds the critical foundation by evaluating and establishing the client relationship, discovering every aspect of what is to be built, organizing the bid team/players, establishing the bid presentation & documents, accurately quantifying and pricing materials and/or scopes to be built, and executing the bid accurately, to the correct location and on time. The assistant will help with these tasks and other tasks that may be assigned.

Responsibilities

  • Act as the point of contact and communicate project status to all participants
  • Work with the Project Estimator to eliminate potential obstacles
  • Participate in site visits and takeoffs
  • Order and maintain office stock to appropriate levels
  • Issue all appropriate legal paperwork (e.g. contracts and terms of agreement)
  • Create and maintain comprehensive project documentation, plans, and reports
  • Ensure standards and requirements are met by conducting quality assurance tests
  • Assist Estimator as Estimating Admin: Use large-scale scanner/plotter; use Blue Book/Planhub; Assist with call sheets; enter data into estimate forms; create Schedule of Values and proposals for clients. Contact designated vendors - Distribute and record distributed bid documents accurately. Receive and process verbal and written quotes to the appropriate project. Due to the day-to-day rapport and proximity to our vendors, this position facilitates and enhances estimating communication, records, and plan rotations.

General Office Duties:

  • Answering phones includes:

- Incoming calls are answered promptly- Recognition of the caller and identification of the caller’s company- Caller is identified and routed to the appropriate staff member- Speaker phone should not be used.

  • Greeting Visitors

- All visitors to our office are welcomed, shown respect, and accommodated.

  • Computer Processing

- Accurately produce computer documents and communications using existing templates
- Save documents into proper files

  • Fax Processing

- Incoming faxes are distributed quickly to the appropriate staff member- Outgoing faxes are sent as requested and confirmation sheet is attached- Stamp FAX on top sheet

  • Cleaning

- Break room is to be cleaned every day.- Dishwasher is to be run every Friday. Coffee machine removable parts go into dishwasher on Fridays.- Cleaning company comes in every weekend to do a complete cleaning.- During the week everyone will help out keeping our office presentable.Assist Estimator:

  • Use large-scale scanner/plotter.
  • Use Blue Book/Planhub.
  • Assist with call sheets.

- Contact designated vendors- Distribute and record distributed bid documents accurately- Receive and process verbal and written quotes to the appropriate project

  • Prepare schedules of values and proposal letters accurately
  • Due to the day-to-day rapport and proximity to our vendors, this position facilitates and enhances estimating communication, records, and plan rotations.

Assist Project Management

  • To assist the Project Coordinator

- Help file all documents in their proper place- Help produce General Contract documents- Help produce Subcontract documents- Help produce General Contract Billings- Other duties as time allows

  • Scan documents and label
  • Use large scale plotter/scanner

Assist Sales

  • Prepare and mail fliers as requested.

Skills

  • An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans
  • Managing multiple emails
  • Solid organizational skills, including multitasking and time management. Detail-oriented is a must.
  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Working knowledge of Microsoft Project and proficiency in other Microsoft applications (e.g. Outlook, Word, Excel, PowerPoint)
  • Hands-on experience with project management tools (e.g. ProjectSight, Bluebeam)
  • Proficient with a modern phone system.
  • General office skills - fax, copy, postage machine.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
