We're looking for a Secretary Senior to join our team to provide administrative support, working toward the common goal of eliminating child and youth outcome disparities based on race and ethnicity. The Opportunity:
Are you an organized individual who can prioritize and meet deadlines? We need your secretarial experience at our Long Beach O ffice to assist our efforts to support families and communities in keeping children safe. You will provide secretarial services and assistance to relieve day-to-day secretarial duties from supervisors and staff.

Some of what you'll do:
  • Provide secretarial support to a unit of social service specialists and provide reception coverage.
  • Screen calls and visitors, draft correspondence, inventory control.
  • Update and maintain the unit calendar for meetings, staffings, and appointments.
  • Establish and/or revise electronic or manual record-keeping systems and databases to meet current office needs.
  • Order, receive and maintain the necessary forms, supplies, and equipment for general office function.
  • Order office equipment, and schedule maintenance of equipment.
  • Open and close records, split case volumes, process closed or inactive files for storage.
  • Take notes and transcribe meeting minutes, and assist with obtaining translation and interpreter services.
  • Scan and upload documents into cases.
  • Process Court Reports and update Legal.
  • Process requests for Birth Certificates and Social Security cards.
  • Assist with maintenance of state vehicles. (valid driver's license required)

What we are looking for:
  • High school diploma or GED and two years of clerical experience that includes keyboarding and typing.
  • Computer Skills including databases and spreadsheets. Knowledge of Microsoft Suite programs; Word, Excel, Outlook.
  • Use online applications and different software to perform varied tasks.
  • Prioritize workload to meet deadlines.
  • Flexible and able to multi-task in a high-stress environment.
  • Team player.
  • Hold a valid driver’s license and comply with Washington State’s liability laws when operating a privately-owned vehicle while on state business.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:
  • Ability to adhere to strict confidentiality standards.
  • Previously demonstrated excellent time management skills.
  • Previously demonstrated ability to complete assignments accurately and on time.
  • Previously demonstrated ability to understand quality customer service for both internal and external clients.
  • Previously demonstrated skill indiscretion and good communication.
  • Ability to promote teamwork by setting the example of helpfulness and willingness to assist others in completing other unit tasks.
  • Demonstrate initiative and share ideas.
