The Special Assistant to the CEO role is a great opportunity for someone looking to learn what it takes to manage a growing international development organization. We are looking for at least a two-year commitment in this position. Strong performance in this role will unlock a range of other opportunities within the organization. Previous assistants have transitioned into roles with the Programs team, and the Development and Communications team.
Ideally, this full-time position will be based in the Luminos office in Boston, MA, though remote locations within the Eastern time zone are possible. The role will report to the CEO and may involve a small amount of international travel.

DUTIES AND RESPONSIBILITIES
Project and Time Management
- Track the CEO's responsibilities, commitments, projects, tasks, and deadlines to ensure that her time is effectively prioritized, and goals achieved.
- Maintain the CEO's calendar, including scheduling meetings and arranging complex and detailed travel plans in challenging international contexts.
- Attend select meetings, take notes, capture action items, and ensure follow-through.
- Proactively anticipate and address the needs of and opportunities for the CEO.
- With time, grow to ensure tasks are effectively delegated, reprioritized, or addressed, navigating conflicting demands and time pressure.
Internal and External Communications
- Provide a bridge for smooth communication between the CEO's office and Board members, partners, donors, staff, and others.
- Draft and edit correspondence that is often sensitive and confidential.
Background Research and Special Projects
- Develop briefing notes for the CEO in advance of key meetings.
- Research and develop talking points for public speaking engagements, as required.
- Serve as a research assistant for CEO-authored articles and short publications.
Administrative Duties
- Maintain calendars for organization-wide meetings. As needed, lead on scheduling recruitment interviews across the organization.
- Answer the main phone line and direct calls to relevant team members; collect and distribute mail, as required.
- Prepare expense reports.
QUALIFICATIONS
- Bachelor's Degree from a top university in a field that provided a wealth of writing experience.
- 1-2 years of professional experience desirable.
- Superb writing, communication, and proofreading skills.
- Comfort with technology and readiness to navigate new applications with little support.
- Advanced skills in Excel are highly desirable.
