Team Operations Coordinator Job at Newark Alliance
The Team Operations Coordinator (TOC) manages the activities of the President and CEO and Senior Leadership Team (SLT) to support and advance the mission of Newark Alliance, along with the general coordination of office and organizational functions. The TOC is a critically important role as the TOC will assist the CEO and members of the SLT (2-3 individuals) with operational duties, project management, and maintenance of the office.
Primary Responsibilities
· Manage the calendar, communication and prioritization of initiatives for the CEO and Senior Leadership Team (SLT)
· Ensure CEO and Senior Leadership Team has background and preparation materials for meetings
· Manage the planning and preparation for meetings both internal and external
· Develop presentations and reports as needed
· Schedule and manage travel arrangements
· Act as the point of contact among executives, employees, clients and other external partners
· Providing day to day admin support, including preparation of expense reports
· Ensure basic office supplies, coffee, and water are well-stocked
· Extensive calendar management
People and Culture
· Manage office communications including new hires, company updates, upcoming holidays, etc.
· Office Services
· Coordinate company tech support as needed, with internal IT staff and external vendors
· Coordinate office and facilities set up & needs
· Manage office mail and shipping
· Manage office meals & entertainment
· Lead and deliver special projects and ad-hoc requests to support the CEO and Senior Leadership Team
· Provide research on key initiatives as needed
Requirements:
· Minimum 3 years of experience
· Background in non-profit sector preferred but not required
· Strong work ethic, high degree of integrity, and positive attitude to continually set an example to all employees
· Excellent organizational skills with the ability to multitask and quickly shift context and priorities
· Strong flexibility to seamlessly react to changes in priorities and new requests while maintaining existing commitments
· Demonstrated polished communication and relationship building to interact, inform, influence, and communicate with key stakeholders at all levels of the company
· Calm yet driven, patient yet productive. A team player who is adaptable and passionate about the mission and vision of the organization
· Exceptional project management and problem-solving skills, including the ability prioritize multiple assignments in a dynamic environment
· Proven ability to support Executive Leaders in a fast-paced, entrepreneurial environment
· Experience with Microsoft Word, PowerPoint, Excel, Adobe
· Collaborates cross-functional throughout the entire organization as well as with partners and 3rd parties
· Outstanding interpersonal skills, including strong written & verbal communication skills
· Demonstrated track record of problem solving and priority setting
· Self-starter with positive energy
Job Type: Full-time
Pay: $20.71 - $24.94 per hour
