Job Summary:
The Division of Facilities Planning & Management (FP&M) is a full-spectrum service organization that builds, maintains, and operates the physical environment of the UW-Madison campus in support of the university's education, research, and outreach activities. FP&M works behind the scenes to coordinate campus planning, manage design and construction, maintain and operate buildings and grounds, supply utility services, ensure health and safety, and provide parking and transportation services.
The Space Management Office collects and maintains university space and utilization information, and works with schools, colleges, and divisions to identify and plan for short- and long-term space needs.
The Data & Reporting Specialist position will collect and update space information through building walks, surveys, and project documentation. This work is critical to maintaining and improving space and facility data for campus reporting and planning.
This is what we are looking for:
[1] Space data collection and updates - Work with schools, colleges, divisions, and departments to collect and update organizational space assignments, use and subuse, functions, staff occupancy, and related information. This includes coordinating and executing building walk throughs, online surveys, and ad hoc updates reported to our office. Attention to detail, communication skills, and customer service are important for this work.
[2] Space and facility data reporting - Contribute to ad hoc report requests from internal and external stakeholders. Assist senior staff with standard report development and review as needed.
[3] Work ethic and willingness to learn - We are looking for motivated individuals who will dig in and do high quality work on schedule. We expect staff to approach their work with a learning mindset and apply on the job experience to their work.
Additional Information
This position may require occasional travel outside of Madison, Dane County, or the State of Wisconsin to UW-Madison facilities and/or other institutions.
Responsibilities:
- 10% Schedules logistics and secures resources and information to identify, assign, and acquire space for institutional use
- 75% Analyzes, audits, and updates facility records
- 5% Reviews, evaluates, approves, and provides recommendations for facility improvements, space assignments, and proposals utilizing best practices and established policies and procedures
- 10% Contributes to standard and custom reports of facility and space data for UW-Madison, UW System, benchmarking studies, and others as requested

Qualifications:
Required:
1. Minimum 2 years' professional work experience
2. Working knowledge of Microsoft Excel
3. Excellent organizational skills and attention to detail
4. Ability to handle sensitive information
Preferred:
1. Bachelor's degree in data management, space planning, or related field
2. 5 years' professional work experience in data management, analysis, space planning, or related field
3. Knowledge of the higher education Facilities Inventory Classification Manual (FICM)
4. Experience with data reporting and/or visualization tools (e.g., Crystal Reports, Tableau, BIRT)
5. Effective oral and written communication techniques
6. Ability to organize, evaluate, and present information effectively
7. Knowledge of administrative structure and functional requirements of facilities in higher
education
8. Skill and commitment to provide quality customer service

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
